Accommodation

HPE has arranged special hotel room rates with the event hotels during the conference. Please refer to the venue, hotels and visa page for more details. We ask the participants NOT to contact the hotel directly but to book their hotel accommodation through our registration website.

Airline arrangements

Delegates are responsible to make their own flight arrangements.

Badges

Delegate name badges will be distributed at the registration desk of the event, and badges should be worn at all times.

Your access to the conference area and other events, especially evening events, will be restricted in case you do not wear your delegate badge.

Breakfast information

Breakfast is included in your hotel accommodation and will be taken in the individual hotels. Some hotels may assign a special room to conference delegates for breakfast. Please ask at your individual hotel reception.

Check-in

The regular check-in time is 16:00. Subject to availability, the hotels may be able to give you your room earlier.

Check-out

The regular check-out time is 12:00 at all event hotels, however a small number of hotels request check out at 10:00 am therefore please check with your individual hotel upon arrival. We kindly ask you to settle your incidental charges (such as phone calls, bar, etc.) before leaving the hotel.

Should you wish to have a late check-out please ask at your hotel reception. For your convenience, a cloakroom facility has been set up at the Paris Convention Centre close to the registration desks in Hall 7. Luggage can be stored there prior to airport departures. The luggage room will be in Hall 7 on level 7.2.

Family members and spouses are welcome to travel with you to Paris at their own costs, however please note that they are not allowed to participate in the conference, event meals or social activities. We thank you in advance for your understanding.

Credit cards

MasterCard, Visa, American Express and Diners Club credit cards are widely accepted throughout Paris however always check before taking a taxi which cards can be used.

Currency

Paris is part of the Euro European Currency Union and uses the Euro € as currency.

Departure

The official check-out time of the hotels is 12:00, however a small number of hotels request check out at 10:00 hrs therefore please check with your individual hotel upon arrival. For late check-outs and luggage storage please contact the hotel concierge. We kindly ask you to settle your incidental charges before leaving the hotel.

Departure transfers

Please ensure that you arrive at the airport at least 90 minutes prior to flight departure!

Dietary restrictions

You may inform the events team about any dietary requirements during your registration for the event. Onsite you may check for dietary restrictions with our main Information Desk “The Hub” located in Hall 7 on level 7.2

Dress code

During TSS the dress code is business casual, for the evening events casual.

Electrical current

Electrical appliances in France operate on 220-240 Volts with the “Type C” Europlug and the “Type E” and “Type F” Schuko. If your appliance’s plug does not match the shape of these sockets, you may wish to bring an international adapter to power your own electrical equipment, as hotels will have limited stock and there no adapters available at the conference venue.

Evening Receptions

After learning and sharing new ideas, technical instruction and intense dialogue, please enjoy our evening receptions on Tuesday and Thursday. Your delegate badge needs to be worn to get access!

We kindly remind you that spouses are not allowed to join any evening reception. Thank you for your understanding.

Hotels

Please refer to the venue, hotels and visa page where you can see the hotels we have contracted for our delegates at TSS.

HUB (main Information Desk)

The HUB will be located in Hall 7 on Level 7.2. It is the “go to” event location for all delegates to get additional information or assistance with: Mobile app, general event and venue information, session and agenda Information, in addition to the self printing stations.

Insurance

You will be responsible for arranging your own travel insurance. Please ensure you have adequate travel insurance in place prior to traveling.

Internet access

Complimentary Wi-Fi will be available at Paris Convention Centre Hall 7 - Expo Porte de Versailles. In addition, the event hotels offer Wi-Fi or cable internet access. Please refer to the detailed hotel information or the given hotel website in order to check if, and how, internet is available. Please note, in some hotels internet access is not free of charge.

Invoicing

Should a registration fee apply to attend HPE TSS 2020 an official VAT invoice will be sent to you once payment has been received. Should you need to amend the billing address please contact the support team Paris2020@hpe-tss.com

Language

French is the official language of Paris.

Conference proceedings will be conducted in English.

Local time

Paris is in the CET time zone.

Luggage storage area

For your convenience, a cloakroom facility and luggage storage area has been set up at the Paris Convention Centre close to the registration desks in Hall 7. Luggage can be stored there prior to airport departures. The luggage room will be in Hall 7 on level 7.2

Meals

The following meals will be served on a complimentary basis:
Lunch is provided on all event days. Please see agenda for timings and location.
Dinner is provided on Tuesday and Thursday.

Please note that a grab-and-go lunch will be provided on Friday after the final session.
If you have any dietary requirements, please indicate those during your registration.

Mobile phones

We kindly ask you to switch off your mobile phones during the sessions.

Passports

Non-EU passport holders are advised to contact the appropriate diplomatic or consular authorities for visa requirement details.

Pictures

The Technology and Solutions Summit is under strict non-disclosure. It is therefore not permitted to take pictures or film sessions at the event location and in the conference rooms at any time, during the event.

Registration and information desk

Registration and information desks are available at Paris Convention Centre Hall 7 – Expo Porte de Versailles.

This is an invitation-only event, therefore pre-registration is mandatory. We cannot admit anyone who has not pre-registered. Please contact your community manager for further information.

Security

While the Paris hotels are generally secured facilities, we recommend that Traveller's Cheques, jewellery, passports and other items of value be kept in the hotel's strongbox or safe. We do not recommend carrying large sums of cash or Traveller's Cheques with you when out in the city. Please do not leave bags unattended in public areas of the hotel and the conference venue.

Smoking

Please note that law in any public buildings in Paris does not allow smoking. Smoking is only allowed outside of the Convention Centre – Expo Porte de Versailles.

Session booking

Sessions will be available for booking 4 to 6 weeks prior to event start.

Taxi rank

There are ca. 400 taxi ranks in Paris. One of them is situated at the Parc des Expositions, the taxi stand is rue Vaugirard, the street facing the main Convention entrance/exit.

Timings

To ensure that the event runs smoothly, we would appreciate it if you could respect the timings given.

Train

Paris offers 5 main train stations:

  • Gare du Nord: to catch the Eurostar and the Thalys
  • Gare de L’Est: trains heading to France and Germany
  • Gare de Lyon: trains heading to (Lyon, Marseille, Nice) and to the Alps (and Geneva)
  • Gare Montparnasse: trains heading to (Bordeaux, Brittany, basque country)
  • Gare St Lazare: trains heading to Normandy

Train to the Paris Convention Center:

  • From CDG: RER B at CDG (line Blue) and stop at Denfert Rochereau, change to 12 towards (direction) and stop at Porte de Versailles
  • From Orly:
    Train/metro: Orlyval until Anthony, change to RER B to Paris and stop at Cité Universitaire. From there take Tramway line 3a towards Pont de Garigliano and stop at Porte de Versailles
    Bus/metro: Orlybus to Paris and stop at « Montsouris », change to Tramway line 3a towards Pont de Garigliano and stop at Porte de Versailles
Transportation

Please refer to the Transportation flyer on the HPE TSS Mobile App in order to get information on Metro passes, lines and schedule.

V
Visas

A request for a visa invitation letter can be submitted during registration to be produced by our event agency. It will then be addressed directly to the delegate (Soft Copy or Hard Copy).

Note: Visa letters will only be provided when full payment has been received. Should you need further information, please contact our event agency at: visa@hpe-tss.com

Voltage

Electrical appliances in Paris operate on 230 Volts and the standard 50 Hz with European 2 pin style sockets, so you may wish to bring an international adapter in order to use your own electrical equipment as the hotels only have limited numbers.

WiFi

Wifi is available at Convention Centre – Expo Porte de Versailles and is free of charge.
In addition, all available hotels propose WiFi or cable internet access.
